The certificate is the record. The words you bring to the Department are not kept on our servers.

The Department's Principle

Let It Be Known is built so that the matter you file is turned into a certificate and that certificate becomes the record. Your original grievance words are never stored on our servers, and the only part of your matter that reaches our artificial-intelligence provider is the grievance text itself, stripped of your name and identifiers. Everything below explains this in full.

1. Who we are

Let It Be Known, the Department of Small Matters, is an app operated by Everyday Arc Ltd ("we", "us", "our", "the Department"). This policy explains what information we collect when you use the app, how we use it, and the choices you have. If you have any questions, you can reach us at support@everydayarc.com.

2. Information we collect

We keep what we collect to what the app needs to work. Depending on how you use Let It Be Known, this may include:

  • Account information. You can use the app anonymously. If you choose to register with Apple, Google or email, we receive your name and email address so we can keep your file with you across devices.
  • The matters you file. When a matter is accepted, we store the issued certificate record: the certificate text, its classification, case number, the claimant name shown on the certificate, its visibility setting, related filing metadata and public interaction counts. We do not store your original grievance words (see section 3).
  • Purchase information. If you buy a subscription, we and our payment providers keep a record of that purchase so we can provide what you paid for.
  • Device identifiers. We use device identifiers to keep the service secure, to verify legitimate app traffic and, if you allow notifications, to deliver them.
  • Usage information. We collect anonymous usage statistics to understand how the app is used and to improve it (see section 7).

3. Your grievance and AI processing

To prepare the certificate text from the matter you submit, the Department uses Anthropic as an artificial-intelligence processing provider. We send only the grievance text to Anthropic for this purpose. We do not send your name, email address, user ID, purchase status or device identifier.

Anthropic processes the submitted text transiently to return the certificate response. According to Anthropic's API data-use commitments, API inputs and outputs are not used to train Anthropic's models unless a customer expressly opts in, which we do not.

Your original grievance words are never stored on our servers. Once the certificate has been prepared, only the certificate record is kept.

4. Drafts on your device

If you begin a filing and do not finish it, the draft text may be saved locally on your device so you can pick it up again later. A draft is held on your device only; it is not uploaded to the Department's servers as a draft.

5. Public filings and the Bulletin

Your file carries a single visibility setting that applies to all of your certificates at once.

  • When your file is open to public inspection, the certificates issued in your name appear on the Bulletin and in the public Registry, where they are visible to other users of the app. A public certificate may show the claimant name recorded on it, the certificate text, case number, filing date, classification and public interaction counts. Your original statement is never published.
  • When your file is restricted, your certificates remain in your own file and do not appear on the Bulletin or the public Registry.

You can change this setting at any time in Department Records, and the change applies to your whole file rather than to individual certificates. Before your certificates are shown publicly, you are asked to accept the public-filing terms in the app.

6. Payments and subscriptions

Subscriptions are sold and managed through the Apple App Store or Google Play, and handled on our side by RevenueCat, which helps us confirm your subscription status. We receive a record of your purchase and the status of your subscription. We do not receive or store your full card details; those are handled by the app store.

7. Usage statistics

We use Firebase Analytics (a Google service) to understand how the app is used. These statistics carry counts, categories, desks, outcomes, durations and character counts only. They never include your grievance text, claimant names or anything that would reconstruct a filing.

We do not use an advertising identifier, we do not show a tracking request, and we do not track you across other companies' apps or websites for advertising.

8. Notifications

If you allow notifications, we use Firebase Cloud Messaging to send the Department's notices and directives to your device. You can turn notifications off at any time in your device settings.

9. Who we share information with

We do not sell your information. We share it only with the service providers that help us run the app, and only so far as they need it to provide their service:

  • Google (Firebase) for sign-in, storage of certificate records, security, notifications and usage statistics.
  • Anthropic for preparing certificate text, as described in section 3.
  • RevenueCat and the Apple App Store or Google Play for subscriptions and payments.
  • Apple or Google where you choose to sign in with their account.

We may also disclose information where we are required to do so by law.

10. A note on wellbeing

Let It Be Known is a place to have small things acknowledged. It is not a medical, counselling or crisis service, and it is not a substitute for professional help. Where the app signposts support, it does so as a courtesy. If you are in distress or in danger, please contact a qualified service or the emergency services in your country.

11. Keeping and deleting your information

You can delete your account at any time from Department Records within the app. Deletion removes your sign-in account, your user record, your notifications, your interactions and the certificates attributable to your account, including any that were public.

After deletion, the Department does not keep a separate copy of your file. Some provider-operated systems, such as app store purchase records or security and infrastructure logs, may retain limited records in line with their own rules and legal obligations.

12. Your rights

Depending on where you live, you may have rights over your personal information, including the right to access it, to correct it, to delete it, and to object to or restrict certain uses. You can exercise the main rights directly in the app, and you can contact us about any of them at support@everydayarc.com. If you would like a copy of the information the Department holds on your file, email us from the address associated with your account and we will provide it.

13. Children

Let It Be Known is not intended for young children. You should be old enough to agree to this policy in your country before using the app. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps.

14. Changes to this policy

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review it from time to time.
